Recruitment and selection privacy statement

APA Group Limited, as responsible entity of APA Infrastructure Trust and APA Investment Trust (APA) is committed to protecting and respecting your privacy. This Recruitment and Selection Privacy Statement sets out the basis on which the personal information collected from you (or provided to us by you) will be managed in relation to our recruitment and selection processes.

Please read the following carefully to understand our practices regarding your Personal Information (PI) and how we will treat it. Personal information is information or an opinion from which you can be identified or are reasonably identifiable.

By continuing with your application, you consent to APA collecting, using and disclosing your PI in the context of employment consideration. Personal information collected about you will be managed securely and will be used and disclosed for the purposes described in this statement or otherwise required by law. If you do not agree to provide the PI requested, APA may be unable to consider your application.

How we Protect your Personal Information

The protection of PI is mandated by the Privacy Act 1988 (Cth) (Privacy Act) and the thirteen Australian Privacy Principles (APPs) in the Privacy Act. All employees and officers of APA are expected to comply with the Privacy Act and APA policies and procedures concerning the protection of PI. 

This statement outlines and explains our practices for collecting and processing the PI of job applicants. APA may also collect ‘other’ information such as  IP address, browser type, operating system, browser language, time zone, access times and any referring addresses, as well as location information.

This policy is based on the following principles: 

Your PI will not be shared other than in accordance with this policy, with your permission or otherwise in accordance with the Privacy Act. 

We will only use your PI for the purpose for which it was provided, a related purpose for which you would reasonably expect the information to be used, a purpose disclosed to you at the time of collection, or the purposes otherwise set out in this policy.

Collection

APA collects and uses PI about you for purposes relating to your application for employment and recruitment. We collect this information directly from you as part of the recruitment process and from third parties in relation to pre-employment screening checks and for the purposes of considering your application.

If you submit an application for employment with APA, we may conduct some, or all of the following pre-employment screening checks:

  • Verification of enrolments and academic performance with Educational and training institutions
  • Checks with regulatory authorities
  • Employment verification with your current employer or former employers
  • Reference checks of referees you nominate and other third parties
  • Confirmation of Professional memberships
  • Medical Assessments (Self-Disclosure Medical Questionnaire, Pre-Employment Medical
  • Confirmation of Entitlement to Work in Australia
  • Personality and Ability testing
  • Drug and Alcohol screening
  • 100 Point Identity verification
  • Driving Licence verification  

Where required by law, or relevant to a particular position, APA may conduct some or all of the following pre-employment screening.

  • Criminal history checks
  • Fraud checks
  • Bankruptcy checks
  • Directorship searches
  • Company checks

Personal information collected and held by APA may include phone numbers, address (including email address) and other contact details, passport and visa details, employment history and financial information.

Use and Disclosure

Your PI is used to assess your suitability for the job/s you apply for and is stored in electronic format in a database. It may also be stored in hard copy to the extent required (for example, to conduct interviews). However, it may also be used to assess your suitability for other roles at APA and its related entities.
 
Any personal details that you provide to us as a result of accessing the Website and sending us emails will only be used for the purpose of dealing with your request or enquiry. We do not use or disclose personal details that you provide to us for the purposes of direct marketing or any similar purposes.

Disclosing Personal Information

We may share PI on a confidential basis with related companies, joint venture and alliance partners and with contractors performing services for APA. Such contractors may include, for example, information technology providers or professional advisers (including accountants, auditors and lawyers), credit reporting and fraud checking agencies, insurers, human resources consultants and credit providers. We may disclose your PI to third parties for the purpose of conducting the pre-employment screening checks listed above. APA will only make such disclosures to achieve the purpose for which the information was provided. Otherwise, APA policy is not to disclose PI to any unrelated third party, except with consent or where we are permitted by law to do so.

Resumes

If you submit a resume to us then we may disclose the résumé to related companies, joint venture and alliance partners (see “Disclosing Personal Information” above). APA will only make such disclosures for the purpose of your application being considered. We and our related companies, joint ventures and alliance partners may keep your resume on file for up to three years for that purpose.  If you prefer that we do not retain your resume on file, please indicate your preference in the application.

Data Quality

At any time, you may access your account to update your profile and/or résumé thereby ensuring the information APA holds about you is accurate, up-to-date, complete, relevant and not misleading.

Security of Information

You should be aware that the internet is not a secure environment. However, APA takes reasonable steps to ensure that any PI collected is held securely. In addition, only authorised personnel have access to PI. Such personnel are required to comply with APA’s privacy policy and to ensure the confidentiality of this information.

Access and Correction

It is your responsibility to keep your login and password details private to prevent unauthorised access. You may access your account online to update, create new applications and activate or deactivate your registration for job mail and job alerts at any time. Should you wish to remove your account, please contact a member of our Recruitment Team at recruitment@apa.com.au. APA’s Privacy Policy (see  our website) contains information about how you can access  PI about you held by APA and correct that information.

Storage

We have put in place procedures and technologies to maintain the security of your PI from the point of collection to the point of destruction. This online recruitment service is powered by Workday. When you submit your online job application or apply for Job Alerts your PI is stored on the Workday database. Data is stored offshore and/or in Australia. Workday meets stringent privacy obligations with regard to access, storage and handling of your PI.

Information retention

We generally store the PI that we collect in electronic databases.  Workday applications are hosted in state-of-the-art data centres with fully redundant subsystems and compartmentalised security zones. The data centres adhere to the strictest physical and environmental security measures. The facilities require multiple levels of authentication to access critical infrastructure.

We may also use third parties to store and process your PI. However, we will only do this if the party agrees to comply with our procedures and policies or if they put in place equivalent security measures. Our aim is to keep PI for no longer than is necessary for the purposes described in this policy or as otherwise required by law.

Successful Candidates

Should you be appointed to a position at APA, your information will be transferred to an APA employment record and managed in accordance with APA privacy policies and procedures.

Unsuccessful Candidates

If you are an unsuccessful candidate, APA will retain your PI for up to 3 years from the date of your application to consider you for future job opportunities. If you prefer not to have your details retained for this purpose, please contact our Recruitment Team at recruitment@apa.com.au.  We will take reasonable steps to securely dispose of your PI if you require this or when it is no longer required for the purposes for which it was collected.

Updates to this policy

APA will update this policy from time to time where necessary to reflect changes in applicable laws or in our privacy compliance practices. The latest version of this policy will always be available online through the APA website.
